Employee directory for large clinics
A large hospital group in North Rhine-Westphalia with over 6,000 employees uses FirstWare’s online telephone directory solution.
The digital employee directory provides the contact details of all clinic employees in a clear telephone directory view. This gives employees of the various clinics round-the-clock access to a reliable directory that shows the current contact details of all colleagues.

More and more hospitals are merging to better meet the demands of the healthcare system. When hospitals merge to form an association, the number of employees logically increases as well. While it used to be sufficient to make employee contact data available internally in Excel files, this no longer works in practice once a certain number of employees is reached.
Our customer, one of the largest German healthcare providers in public ownership, provides inpatient and outpatient care to around 200,000 patients annually with approximately 6,000 employees.
In the past, contact data for clinic employees was maintained in Excel spreadsheets. These were published on the intranet and, if required, also printed out and handed out to the receptions and wards.
Obviously, just updating and distributing the Excel files on a regular basis was very time consuming and the contact lists were never up to date.
We were able to assist the customer with a quick and straightforward solution.
Simple, easy-to-read employee directory for large clinics
Easy to manage and well-organized – this was the customer’s requirement for the online employee directory. Since the hospital IT manages all employees in AD, the IDM-Portal was the ideal solution.
For a quick and practical introduction into the clinic’s daily routine, the customer opted for a classic phone book solution with a read role. Employees are allowed to read the phonebook, but not edit anything. Due to the flexible configuration options in the IDM-Portal, many additional roles with different authorizations can be generated as required.
Flexible, up to date and always available
Strictly speaking, the IDM-Portal relies on the AD providing a user-friendly interface.
- All employee entries are maintained via IDM-Portal and thus written directly into the AD.
- A further database is not necessary.
- The input interface is designed so intuitively that even non-IT employees can take over data maintenance.
- Through role-based administration, tasks related to data maintenance can be delegated.
- All technically important information is generated by automatisms in the background.
- With the flexible view, the employee directory can be sorted by clinic, department or ward.
- An export function is available for downloading the entire phone book.
The IDM-Portal has a modern telephone directory interface that can be individually adapted to the corporate design of the customer environment. Employees do not have to open an external application, but use a fully integrated product.
