Naturally, this procedure was outdated, error-prone, and time-consuming.<\/p>\n<p>\ud83d\udce9 The customer approached us with the request to<\/p>\n<ul style=\"list-style-type: square;\">\n<li>digitize,<\/li>\n<li>standardize, and<\/li>\n<li>automate<\/li>\n<li>the entire onboarding process without overwhelming users with the interface.<\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"Our-solution-clear-time-saving-onboarding\"><\/span>Our solution: clear, time-saving onboarding<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Using the <a href=\"https:\/\/www.firstware.com\/en\/\">IDM-Portal<\/a>, we digitally mapped the existing process one-to-one, including all notifications and roles. This required close cooperation with the hospital\u2019s administrators, who were actively involved from the beginning.<\/p>\n<p>This is how the new workflow operates:<\/p>\n<ol>\n<li><strong>HR creates the user:<\/strong> With one click on \u201cSave,\u201d the IT department is automatically notified.<\/li>\n<li><strong>Notification of other departments:<\/strong> Telephony services and the department head also receive a notification to add the required information.<\/li>\n<li><strong>User activation:<\/strong> The department sends the new employee their password and sets the account to \u201cactive.\u201d<\/li>\n<li><strong>Final review by IT:<\/strong> The IT department receives the final notification and can review the permissions.<\/li>\n<\/ol>\n<p><a href=\"https:\/\/www.firstware.com\/en\/contact\/\" target=\"_blank\" rel=\"noopener\"><button class=\"ButtonBeratung2 aligncenter\">Book a demo<\/button><\/a><\/p>\n<h2><span class=\"ez-toc-section\" id=\"User-involvement\"><\/span>User involvement<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>A key element of this project was the involvement of various stakeholders.<\/p>\n<p>HR, department managers, IT, telephony services, and the on-call IT team\u2014all of them now use the portal.<\/p>\n<div id=\"attachment_48466\" style=\"width: 1546px\" class=\"wp-caption alignnone\"><img decoding=\"async\" aria-describedby=\"caption-attachment-48466\" class=\"wp-image-48466 size-full\" title=\"Read view in IDM-Portal\" src=\"https:\/\/www.firstware.com\/wp-content\/uploads\/2025\/12\/User-management_EN-1536x867-1.png\" alt=\"Read view in IDM-Portal\" width=\"1536\" height=\"867\" \/><p id=\"caption-attachment-48466\" class=\"wp-caption-text\">The role concept in the IDM-Portal makes it possible to use different views for reading and\/or editing.<\/p><\/div>\n<p><a href=\"https:\/\/www.firstware.com\/en\/identity-management\/delegation\/\"><strong>Delegation<\/strong><\/a> is the heart of the IDM-Portal:<\/p>\n<ul style=\"list-style-type: square;\">\n<li><strong>Let tasks be completed where they belong.<\/strong> HR, IT, or department teams carry out exactly the steps they need\u2014without administrators having to perform every action themselves.<\/li>\n<li><strong>Everyone sees only what they need.<\/strong> Through role-based access (RBAC), users see exactly the functions and data relevant to their task.<\/li>\n<li><strong>Simple, intuitive interface\u2014even for non-technical users.<\/strong> The IDM-Portal is designed so that even users without deep IT knowledge can handle routine tasks themselves (e.g., creating users, maintaining profiles, managing groups).<\/li>\n<\/ul>\n<p>At the same time, everything is traceable and flexible: Roles and permissions can be assigned temporarily and revoked automatically.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Results-and-Feedback\"><\/span>Results and Feedback<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>By digitizing the onboarding process, the customer significantly increased process efficiency:<\/p>\n<p>\u2705 All participants now work via a unified, intuitive interface that is modeled after the familiar Word document (ensuring high user acceptance). In addition, the customer uses the Automation Service in the IDM-Portal to efficiently manage scheduled actions and data imports.<\/p>\n<p>User creation is now faster, and departments can complete tasks independently. Administrators and the on-call IT team particularly appreciate the intuitive interface, which simplifies their work and offers transparency and traceability.
