Beim Schulverwaltungsamt einer Stadt in Kanada, ist die IT-Abteilung gemeinsam mit der HR-Abteilung f\u00fcr das Onboarding von tausenden Lehrern und anderen Bildungsfachleuten verantwortlich. <br \/>\nMit unserer IAM-L\u00f6sung IDM-Portal bieten wir eine benutzerfreundliche Oberfl\u00e4che, die die Delegation von Onboarding-Aufgaben an nicht IT-Mitarbeiter erm\u00f6glicht. Er startete am Montag, den 01.01.2022.<\/p>\n<p>Im ersten Schritt war die Personalabteilung des Schulverwaltungsamtes f\u00fcr das Onboarding der neuen Mitarbeiter zust\u00e4ndig. Die Personalabteilung sammelte die wichtigsten Kontaktdaten (Name, Vorname usw.) und schickte eine E-Mail an die IT-Abteilung, damit diese ein Konto in Active Directory erstellt. Parallel dazu legte die Personalabteilung ein User-Profil in ihrem HR-System an.<\/p>\n<p>Sobald das Profil von der IT-Abteilung in AD angelegt wurde, erhielt der Lehrer eine E-Mail-Adresse und die ersten Zug\u00e4nge. Es fehlten jedoch noch viele Informationen (B\u00fcronummer, Telefonnummer, Anschrift der Schule etc.). Diese Angaben \u00fcbernahm wiederum das Sekretariat der Einsatzschule und schickte sie per E-Mail an die HR-Abteilung und an die IT-Abteilung. Nachdem die Informationen in AD und im HR-System \u00fcbernommen wurden, erhielt der Lehrer schlie\u00dflich alle erforderlichen Berechtigungen.<\/p>\n<p>Hier sind bereits mehrere Probleme zu erkennen:<\/p>\n<ul>\n<li>doppelte Pflege von Daten<\/li>\n<li>Risiko von Fehlern durch die manuelle \u00dcbertragung von Informationen<\/li>\n<li>Zeitverlust und Wartezeit<\/li>\n<\/ul>\n<p>Au\u00dferdem musste das Sekretariat bei allen weiteren \u00c4nderungen jedes Mal beide Abteilungen (IT und HR) per E-Mail kontaktieren. Bei Tausenden von Mitarbeitern war dies ein enorm zeitaufwendiger und arbeitsintensiver Prozess.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Die-Anforderungen\"><\/span>Die Anforderungen<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Angesichts der gerade genannten Probleme und des zunehmenden Personalmangels m\u00f6chte die IT-Abteilung m\u00f6glichst viele Routineaufgaben des Identit\u00e4tsmanagements (User-Onboarding) automatisieren oder delegieren.<\/p>\n<p>Au\u00dferdem soll ein neuer Mitarbeiter vom ersten Tag an komplett integriert sein und alle notwendigen Zugriffe haben, um sofort einsatzf\u00e4hig zu sein.<\/p>\n<p>Schlie\u00dflich w\u00fcnscht sich das Unternehmen eine L\u00f6sung, die auch das HR-System der Firma (Sage) einbezieht, um eine doppelte Datenverarbeitung zu vermeiden.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"User-Onboarding-mit-dem-FirstWare-IDM-Portal-automatisieren\"><\/span>User-Onboarding mit dem FirstWare IDM-Portal automatisieren<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Der neue Prozess mit dem IDM-Portal besteht aus vier Schritten und umfasst nur noch die Personalabteilung und das Sekretariat. Wir stellen Ihnen vor, wie die praktische L\u00f6sung aussieht:<\/p>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-42018 size-full\" title=\"OnBoarding mit IDM-Portal automatisieren\" src=\"https:\/\/firstware.com\/wp-content\/uploads\/2022\/05\/OnBoarding-mit-IDM-Portal-automatisieren.gif\" alt=\"OnBoarding mit IDM-Portal automatisieren\" width=\"853\" height=\"480\" \/><\/p>\n<p>&nbsp;<\/p>\n<p><strong>Schritt 1<\/strong>: Das Anlegen eines neuen Benutzers erfolgt im IDM-Portal. Durch die rollenbasierte Delegation im Portal, \u00fcbernimmt beispielsweise die Personalabteilung diese Aufgabe. Sogleich wird automatisch ein Konto in Active Directory (wenn erforderlich auch in Entra ID) und im HR-System angelegt. Die IT wird durch die Automatisierung entlastet und muss nichts weiter tun.<\/p>\n<p>Die Personalabteilung pflegt folgende Daten:<\/p>\n<ul>\n<li>Name<\/li>\n<li>Vorname<\/li>\n<li>JobRoleNumber<\/li>\n<\/ul>\n<p>JobRoleNumber: Jeder Beruf entspricht einer Nummer. Beispiel: Lehrer = 3000, Schulleiter = 1000.<\/p>\n<p>Ausgehend von diesen einfachen Daten werden die folgenden Informationen automatisch ausgef\u00fcllt:<\/p>\n<ul>\n<li>E-Mail-Adresse<\/li>\n<li>Passwort<\/li>\n<li>Initial<\/li>\n<li>Username<\/li>\n<li>Gruppenzugeh\u00f6rigkeit (anhand von JobRoleNumber).<\/li>\n<\/ul>\n<p><strong><em>IDM-Portal-Tipp<\/em><\/strong>: Es ist m\u00f6glich, die Erstellung des Kontos zeitlich zu steuern, so dass der Zugriff erst an einem bestimmten Tag und zu einer genauen Uhrzeit beginnt.<\/p>\n<p><strong>Schritt 2<\/strong>: Sobald das Benutzerkonto im HR-System angelegt ist, wird eine Mitarbeiternummer automatisch vom HR-System angelegt und automatisch im IDM-Portal und in Active Directory aktualisiert.<\/p>\n<p><strong>Schritt 3<\/strong>: Jetzt kann der neue Mitarbeiter theoretisch schon arbeiten, auch wenn noch einige Informationen fehlen.<\/p>\n<p><strong>Schritt 4<\/strong>: Das Schulsekretariat der Einsatzschule des neuen Lehrers tr\u00e4gt im IDM-Portal die zus\u00e4tzlichen Informationen ein:<\/p>\n<ul>\n<li>Name der Schule<\/li>\n<li>Anschrift<\/li>\n<li>B\u00fcronummer<\/li>\n<li>Telefonnummer<\/li>\n<\/ul>\n<p><strong><em>IDM-Portal-Tipp<\/em><\/strong>: Mittels eines Dropdowns w\u00e4hlt das Sekretariat einfach die richtige Schule aus der Liste aus und die Adressdaten sowie die Telefonnummern werden automatisch ausgef\u00fcllt.<\/p>\n<p>Die Daten, die die IT-Abteilung und das HR-System ben\u00f6tigen, werden automatisch aktualisiert. Beispielsweise aktualisiert sich die Adresse der Schule im HR-System und in Active Directory. Die \u00c4nderungen erfolgen praktisch sofort.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Fazit-Kosten-sparen-%E2%80%93-Zufriedenheit-erhoehen\"><\/span>Fazit: Kosten sparen \u2013 Zufriedenheit erh\u00f6hen<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p class=\"absatz\">Vorteilhaft am neuen Onboarding-Prozess ist, dass das manuelle Hin- und Hersenden von Daten zwischen den Abteilungen komplett entf\u00e4llt. Die Automatisierung sorgt f\u00fcr sofortige Updates zwischen den Systemen, sodass die Daten \u00fcberall auf dem gleichen Stand sind.<br \/>\nSeit der Einf\u00fchrung des IDM-Portals verwaltet die IT-Abteilung des Schulverwaltungsamtes nicht mehr die Datenverarbeitung im Zusammenhang mit dem Onboarding. Dies ist eine enorme Erleichterung f\u00fcr die ohnehin schon \u00fcberlastete IT-Abteilung.<\/p>\n<p class=\"absatz\">Die Daten werden schneller aktualisiert und die neuen Mitarbeiter k\u00f6nnen sofort arbeiten. Die richtige Pflege von Daten erm\u00f6glicht auch die automatische Zuweisung (oder Entfernung) von Berechtigungen.
